This privacy policy explains how Eurokas (“we”) collects, uses and stores your personal data when you enquire about flat-roof services, use our website or complete an enquiry form. We have written it in plain language so it is clear what data we process and what rights you have under the General Data Protection Regulation (GDPR).
In short: we collect only the data needed to assess your enquiry and provide a service, we do not sell it and we do not pass it to third parties for marketing.
Who the data controller is
The controller of your personal data is Eurokas. For any data-processing matter you can reach us by the means set out on our contact page. If you have questions about how we handle your data, we invite you to contact us first — most questions can be resolved directly.
What data we collect
We collect only the data you provide yourself or that is necessary for the website to work. Specifically:
- Contact details. The name, phone number and/or email address you give in an enquiry form, an email or during a call.
- Information about the property. The address or district, building type, a description of the roof’s condition and the photos you send so we can assess the enquiry.
- Correspondence content. Your messages and our replies, so a record of the exchange remains and nothing has to be retold.
- Technical website data. IP address, browser type, time of visit and similar server-log data, collected automatically for security and for the website to function.
- Cookie data. Covered in a separate section below.
We do not collect special categories of data (such as health or beliefs) and do not ask you to provide them. If the photos you send happen to show people or vehicles, please send only what relates to the roof.
Why and on what basis we process data
For every processing operation we have a clear purpose and a legal basis under the GDPR.
- To assess an enquiry and prepare a quotation. The legal basis is steps taken at your request prior to a contract. Without contact and property data we could not answer an enquiry.
- To provide the service. Once work is agreed, data is processed on the basis of performing the contract — to plan the survey, carry out the work and hand over documentation.
- For legitimate interests. To keep the website secure, prevent fraud and defend our rights (for example, keeping work documentation through the warranty period).
- On the basis of consent. For non-essential cookies and analytics, where you have consented to such processing. You can withdraw consent at any time.
You are free not to provide data — but without the minimum necessary data we cannot assess an enquiry or provide a service.
How long we keep data
We do not keep data longer than needed for the purpose it was collected for.
- Data from enquiries that did not proceed is kept for a reasonable period so we can return to the conversation if you decide to continue, and is then deleted or anonymised.
- Data and documentation for agreed contracts and completed work is kept through the warranty period and for as long as the law requires (for example, accounting rules).
- Technical website logs are kept for a short period for security purposes.
Once the retention period ends, data is securely deleted or anonymised so that you can no longer be identified.
Who we share data with
We do not sell your data or pass it to third parties for marketing. In limited cases your data may be processed by service providers we engage, acting on our instructions:
- Website and email hosting providers, on whose servers the website runs and correspondence is stored.
- Analytics providers, if you have consented to such analytics (see the cookies section).
- Other specialists, where needed to provide the service — for example a structural engineer if a load assessment is required; in that case we pass on only what is necessary.
With such providers we process data under contracts that oblige them to ensure appropriate protection. We may also disclose data to competent authorities where the law requires it.
Cookies
Cookies are small files stored on your device when you visit the website. We use several kinds:
- Essential cookies. Needed for the website to work — for example to submit a form or remember the chosen language. They cannot be enabled or disabled separately, because the site would not work without them.
- Analytics cookies. Help us understand how the website is used so we can improve it. They are enabled only with your consent.
You can manage cookies in your browser settings — delete those already stored or block new ones. Note that disabling essential cookies may stop parts of the website working. You can withdraw consent for non-essential cookies at any time.
Your rights
Under the GDPR you have the following rights regarding your personal data:
- Right of access. To learn what data of yours we process and obtain a copy.
- Right to rectification. To ask us to correct inaccurate or complete incomplete data.
- Right to erasure (“right to be forgotten”). To ask us to delete data when it is no longer needed for the purpose it was collected for.
- Right to restrict processing. To ask us to pause processing in certain cases.
- Right to object. To object to processing based on legitimate interests.
- Right to data portability. To receive the data you provided in a common format or ask us to transfer it to another controller where technically feasible.
- Right to withdraw consent. Where processing is based on consent, you can withdraw it at any time; this does not affect processing carried out before withdrawal.
To exercise these rights, contact us by the means on our contact page. We will respond within the period set by law. If you believe your data is being handled improperly, you have the right to lodge a complaint with a supervisory authority — in Lithuania this is the State Data Protection Inspectorate; those living abroad may also contact the authority in their own country.
Data security
We apply reasonable technical and organisational measures to protect your data from loss, unlawful disclosure or use. Access to data is limited to those who need it to do their work. That said, no transmission of data over the internet is entirely secure, so when sending information please consider what you provide. Should a security breach involving your data ever occur that poses a risk to your rights, we would act as the law requires and, where necessary, inform you and the supervisory authority.
Links to other websites
Our website may contain links to other parties’ websites. This privacy policy applies only to our website — we are not responsible for the content or privacy practices of other sites, so we recommend reviewing their privacy policies separately.
Children’s data
Our services are intended for adults — building owners, managers and their representatives. We do not knowingly collect children’s data. If you believe we have inadvertently received such data, please tell us and we will delete it.
Changes to this policy
We may update this privacy policy from time to time — for example when the law or our activity changes. The latest version is always published on this page. For material changes we will aim to make them clear. We recommend reviewing this page occasionally.
Protecting your data when you contact us
Although we are responsible for protecting your data with us, a few simple things help you avoid providing excessive information yourself.
- Send only what relates to the roof. A general view and the problem area are enough; there is no need to send identity documents or unrelated paperwork.
- Avoid unrelated people in photos. If the frame happens to show people or vehicle plates, that is not necessary for the enquiry.
- Do not disclose sensitive information. We never need passwords, payment cards or similar data, and we do not ask for them.
These tips are not a requirement but a way for you to control what you provide. The more precisely you choose what to send, the less excess data there is to store — which is useful to both sides.
How we collect data: the channels
We receive data only through the channels you choose yourself. Each has its own specifics.
- Enquiry form. You provide contact details, property information and, if you wish, photos. Form data reaches our email or enquiry system.
- Email. Your message and attachments are stored on the email hosting provider’s servers as ordinary correspondence.
- Phone. Data given during a call is noted only as far as needed to handle the enquiry; we do not record calls without your knowledge.
- Website browsing. Technical data and cookies are collected automatically, as described in the relevant sections.
Whichever channel you choose — we collect only what relates to your enquiry. If you provide more than needed, please avoid excessive personal data.
Automated decisions and profiling
In deciding on your enquiry we do not use automated decision-making or profiling that would have legal or similarly significant effects on you. Every enquiry is assessed by a person, based on the information you provide and the roof survey.
Transfers outside the EU
We aim for your data to be processed within the European Economic Area (EEA). If any service provider were to process data outside the EEA, it would only occur under the appropriate safeguards required by the GDPR. We do not sell data or transfer it to third countries for marketing.
What we do not do with your data
Sometimes it is clearer to state what we do not do:
- We do not sell your data or supply it to advertising networks.
- We do not use your contact details for unrelated marketing; if we ever sent news, it would only be with separate consent and an option to unsubscribe.
- We do not gather more data than needed — if a district and a photo are enough for an enquiry, we do not ask for the exact address in advance.
- We do not keep data indefinitely “just in case” — we have retention periods and we keep to them.
How to contact us
For any question about this privacy policy or the processing of your data, contact us by the means on our contact page. We aim to answer such questions clearly and without unnecessary formality. Broader information about our services is on the services page.
